Terms and Conditions for Funding & Grants
Gallagher Charitable Trust
The Gallagher Charitable Trust supports initiatives that deliver meaningful benefit within the wider Waikato region. Applications must be made using the Trust’s online application platform “SmaryGrants”. Before submitting an application, please ensure you understand and meet the following Terms and Conditions.
1. Eligibility Criteria
To be considered for funding, your organisation must meet all of the following requirements:
Organisation Requirements
Your organisation is a registered charity or not‑for‑profit entity
(including community groups, clubs, educational institutions, schools, and preschools).Your organisation is based in New Zealand, and the funds will be used solely within New Zealand.
You can provide a New Zealand bank account in the legal name of your organisation.
Your organisation can demonstrate stable financial viability.
All previous funding from the Gallagher Charitable Trust has been fully accounted for with receipts and accountability reports.
2. What We Do Not Fund
Applications for the following items or purposes are not eligible for funding:
Individuals
Professional or elite sportspeople or teams
Retrospective applications
(Applications requiring funding within 4 weeks of the closing date will not be considered)Overseas travel or accommodation
Conferences (New Zealand or overseas)
Political activities or purposes
3. Required Documentation
To ensure your application can be assessed without delay, please have the following documents ready to upload:
Primary Contact Identification
Photo ID for the main contact person
(Driver licence or passport)
Proof of Bank Account
A bank‑generated document showing the organisation’s:
legal name, and bank account number
Acceptable documents include:deposit slip,
bank statement, or
bank‑verified form.
Please upload in portrait orientation.
Financial Accounts
Most recent annual financial statements, or current management accounts.
Quotes (If Applicable)
Required for any goods, equipment, services, or project costs being requested.
Supporting Documentation
Provide any relevant documents that help demonstrate the purpose, need, or impact of your project. Examples include:
project plans or proposals
budgets
letters of support
photographs
evidence of community need or engagement
4. Assessment Process
Applications are reviewed by the Trustees during the designated funding rounds.
Only fully completed applications with the required documentation will be submitted for consideration.
The Trustees’ decisions are final and cannot be appealed.
5. Accountability Requirements
If your organisation receives funding from the Gallagher Charitable Trust, you must agree to the following conditions:
Use of Funds
Funds must be used only for the approved purpose specified in your application.
Receipts and Accountability Reporting
You are required to provide:
Receipts within 14 days of receiving the funds, and
A full accountability report within 5 months of receiving the funds.
Not providing this information within the allocate time frame may affect in future applications.
Changes to the Approved Purpose
If the project changes, is delayed, or cannot proceed as outlined, you must notify the Trust immediately.
Your organisation may apply for a variation to the approved funding, which must be approved by the Trustees before funds can be used for any purpose other than what was originally approved.
Return of Funds
Any unspent, surplus, or misallocated funds must be returned if requested by the Trustees.
6. General Conditions
By applying for funding from the Gallagher Charitable Trust, you acknowledge and agree that:
Requests for Information
The Trust may contact you at any time during the assessment process for clarification or additional information.
Trustees’ Discretion
The Trust may decline an application at its sole discretion. The Trust is not required to provide the applicant with a reason for the decision.
Accuracy of Information
Providing false, incomplete, or misleading information may result in your application being declined and may make your organisation ineligible for future funding.
Use of Information
All information provided in your application may be used for the purpose of assessing, administering, and managing your funding request.
At its heart, the Gallagher Charitable Trust continues a family legacy - investing in people, backing long-term impact, and helping build a stronger Waikato for future generations.
